The optional signature is very similar to a normal signature, but has an extra option. This gives the signatory more control. The difference is described below:
An optional signature gives three options to the signer:
1. Sign (this explicitly accepts the content of the document and the workflow continues)
Do not draw, but let the workflow continue
2. Reject the transaction (this stops the workflow)
A normal click or graphic signature only gives the signer two options:
1. Sign (this explicitly accepts the content of the document and the workflow continues)
2. Reject the transaction (this stops the workflow)
Applicability of this function
By using an optional signature, a signer can therefore choose whether or not he / she wants to sign, without hindering the workflow. This gives more control to the signer. For example, the optional signature can be used for a manager who wants to be included in the workflow, but does not necessarily want to sign. This gives the manager the opportunity to view the documents and possibly reject the transaction.
In this example, using the optional signature is similar to initialing, but invisible to the other signers (if the manager chooses to continue the process). You could also see this feature as an option to decline.
Configure optional signature
Setting the optional signature for a signer works as follows:
Drag the optional signature field into the document. You can switch the signature in a click or capture signature.
Similar functions
The functions 'Accept only' and 'Only be recorded as recipient' seem similar, but differ from 'Optional signing'. The differences are described below:
Accept only: Accept a document only, without signing, but this applies to all signers. No possibility to let some signers only accept and others sign in the same document. This feature is typically used to accept terms and conditions for one or more signers.
Only be included as recipient: this person is not included in the workflow and therefore has no influence on the signing process. This person will only receive a confirmation email when the transaction has been completed and you can download the documents after completion.
View before completion: This functionality allows the sender of the transaction to view the transaction before it is completed. If everyone has placed his or her signature, the sender of the transaction can therefore determine whether he completes the transaction or not.
Optional signature: Ability to explicitly accept (draw, workflow continues), do not draw / 'continue' (workflow continues) or reject (workflow stops / pauses).
