Like templates, layouts can be reused. The difference between a template and a layout is: a template is a pre-uploaded document containing a number of (fill-in) fields that you have added yourself, and a layout only contains (fill-in) fields that you have to fill in another document.
For example, a template can be useful for a payroll tax form or a SEPA mandate. These are documents that always look the same and must be completed in the same way, only by a different person each time. By creating a template for this, you do not always have to upload the document and add the fields, but you only have to indicate who the recipient/signer is and you can immediately send the document for signature.
You can also create a template for a specific workflow within your organization. For example, when sending a quotation. If you send standard general terms and conditions with a quotation, you can add these general terms and conditions to a template. When creating a transaction, choose the template. The general terms and conditions have also been added to this. This way you don't have to repeat the same operation every time. More information about creating a template can be found here.
A layout can be useful if, for example, you always want a signature (and possibly other fields) on page four of your document. You can also save the size of the fields.
How to create and apply a layout:
- Create a new transaction, add a document on which you want to base the layout and add the recipient(s)
- In the Designer you add all the fields that you want to reuse. This can only be a signature field, but it can also be multiple fields
- Then click in the left column on
- You can choose a name for the layout and you can share the layout with anyone who has a ValidSign account in your organization
After you have created the layout, you can now apply it to all new transactions you create. Under the Apply Layout heading, click 'Select a layout'. Select the saved layout. The fields are added to the document in exactly the same place.
