The ValidSign platform facilitates the signing process to allow you and your customers, partners and/or suppliers to sign digitally. Once the documents have been signed, it is intended that the documents are archived at your own location (DMS, Internal Network, Case System, etc.) and removed from the ValidSign environment.
Through the ValidSign portal you can download the documents, together with the proof document, to your local computer and then store them in your archiving solution. In case you use an integration, the documents can be downloaded via the integration and archived in the linked system or the ArchiveModule introduced in 2020, which is made available by ValidSign free of charge to download your transactions in bulk. You remain in control of the archiving and removal of the documents in the ValidSign environment.
ValidSign will automatically remove transactions with the status COMPLETED and ARCHIVED from the ValidSign environment 90 days after completion. Of course, our ArchiveModule also makes it possible to download and possibly archive transactions with a different status.
How do I know which transactions will be deleted?
The Owner of your ValidSign environment will receive automated email notifications (30,14 and 7 days prior to deletion) of completed transactions (which have been completed more than 90 days) which will be deleted.
